To expand our admin team in Düsseldorf, we are looking for an experienced and committed Office Manager (m/f/x) who combines the hands-on mentality necessary for a start-up company with the needs for structure of a growing organization.

 

As our dream candidate you are experienced in process documentation and implementation and are familiar with the administrative requirements of a small-sized company with a rapid growth. You have great communication skills and understand your role as an intersection between all relevant departments of the organization, such as Operations, Finance, HR and the CEO office. You are capable in taking responsibility for your working areas and love to work in a team and to provide constructive feedback.

 

Your responsibilities are:

  • Function as an intersection between all relevant departments of the company and work closely with the CEO and the management
  • Manage part-timers and mini jobs for administrative work
  • Contract and document management
  • Support in preparation of marketing and corporate identity material
  • Organization of company events and meetings with external stakeholders
  • Support in compliance topics such as data compliance (GDPR)
  • General secretarial tasks: telephone, mail, office materials
  • Regular update of website and social media content

 

Job requirements

This job will suit you best if you

  • bring at least about 4 years of relevant experience as office manager, management assistant or in a similar position or are a certified Office Manager (IHK)
  • have a hands-on mentality and a very structured way of working
  • bring great project management and communication skills
  • have the ability to take and provide constructive feedback
  • love to work with people with different cultural backgrounds and embrace this diversity
  • have a sound knowledge of German and are comfortable with spoken and written English

Who we are
