About this job

We are looking for an experienced and committed Office Manager (m/f/x) at our Head office in Düsseldorf who combines the hands-on mentality necessary for a start-up company with the needs for structure of a growing organization.

As our dream candidate you are experienced in process documentation and implementation and are familiar with the administrative requirements of a small-sized company with a rapid growth. You have great communication skills and understand your role as an intersection between all relevant departments of the organization, such as Operations, Finance, HR and the CEO office. You are capable in taking responsibility for your working areas, love to work in a team and to provide constructive feedback.

Your responsibilities are:

  • Function as an intersection between all relevant departments of the company and work closely with the CEO and the management
  • Manage part-timers and mini jobs for administrative work
  • Internal and external communication to different stakeholders of the company
  • Contract and document management
  • Support in preparation of marketing and corporate identity material
  • Organization of company events and teambuilding activities
  • Coordinate meetings with external stakeholders including minutes
  • Support in compliance topics such as data protection compliance (GDPR)
  • General administrative tasks: telephone, mail, office materials, visitor travel arrangements
  • Regular update of website and social media content
  • Support in on- and offboarding of employees
  • Coordination of IT infrastructure as interception to our external IT service provider
  • Conceptualization and documentation of company policies and procedures


This job will suit you best if you

  • bring at least about 3 years of relevant experience as office manager, management assistant or in a similar position or are a certified Office Manager (IHK)
  • have a hands-on mentality and a very structured way of working
  • bring great project management and communication skills
  • have the ability to take and provide constructive feedback
  • love to work with people with different cultural backgrounds and embrace this diversity
  • have a very good feeling for the German language (native speaker or min. C1 level) and have good English skills in word and writing
